Fantastic opportunity for an experienced legal secretary with a background in property to join a nationally renowned solicitors firm in central Guildford.

About the role

This is a full time role supporting our solicitors across a variety of legal disciplines, but with most support needed by our commercial property and litigation teams. Our lawyers mostly work remotely, so you must be comfortable in providing exceptional support in this way. This is not a role where you will plough through hours of dictation – in fact there is no dictation at all. Instead, you will be asked to undertake many and varied support tasks which you will be able to perform independently and to a high standard. Success in the role will be achieved by helping our experienced lawyers deliver high levels of service to our clients.

Responsibilities include:

  • ad hoc assistance to all  our solicitors throughout a transaction 
  • secretarial and paralegal support, including for example: property searches, completion statements, HMLR forms and preparing court bundles
  • pre and post completion support, including managing SDLT, AP1s and responding to requisitions
  • Opening and closing of files, including KYC and other checks
  • Updating and maintaining our firm data store (contact details etc)
  • Making entries into the firm’s diary
  • producing well formatted documents
  • Reading and dealing with incoming/outgoing post including scanning
  • Managing our physical document store

About you

We are looking for an experienced property legal secretary with at least 5 years’ experience. You will need strong organisational skills to manage your time effectively, be good at working to fixed deadlines and be confident supporting multiple solicitors. You will be a self-starter and be excited to join a small team that will value your contribution. You will be methodical, professional and demonstrate a strong attention to detail with excellent accuracy. The right candidate will take pride in ‘adding value’ by spotting and communicating problems, rather than just ‘doing what is asked’. You will have outstanding interpersonal and communication skills, have excellent knowledge of MS Office products, and be very IT literate as we are a truly paperless firm.
